Job Description & Responsibilities:
- Assists with pre-registration processes when necessary.
- Manages reservations via email, phone, and WhatsApp.
- Handles reservations from the sales office, other hotel departments, and travel agents.
- Knows room types, locations, and layouts.
- Has knowledge of the sales status, rates, and benefits of all packages and plans.
- Understands the hotel’s credit policies and correctly codes each reservation.
- Creates and maintains reservation records by arrival date and alphabetical order.
- Determines room rates according to the hotel’s sales strategies.
- Prepares reservation confirmation letters and communicates the information to the front desk.
- Processes cancellations and modifications and promptly relays them to the front desk.
- Applies the hotel’s guaranteed reservation and no-show policies.
- Collects and tracks advance deposits for reservations.
- Monitors future room availability and assists in preparing revenue and occupancy forecasts.
- Prepares expected arrival lists for front office use.
- Assists with pre-registration processes when necessary.
- Handles daily correspondence, responds to inquiries, and makes reservations as needed.
- Ensures files are kept up-to-date and organized.
- Maintains a clean and organized workspace and professional appearance at all times.
- Demonstrates a polite, helpful, and professional attitude toward guests, managers, and team members.
- Willing to undertake reasonable tasks as requested by hotel management.
- Configures room rates and settings in the hotel property management system (PMS).
- Knows front office procedures and assists with reception duties when required.
Requirements:
- University graduate in Tourism and Hospitality, Business Administration, or a related field.
- Proficient in English (speaking, reading, and writing); additional languages (German, Russian, etc.) are a plus.
- Minimum 2 years of experience in hotel reservations, front office, or guest relations.
- Knowledgeable about reservation processes, packages, and hotel policies.
- Guest-focused with strong communication and problem-solving skills.
- Team-oriented and able to work effectively in a fast-paced, multitasking environment.
